Whalley Village Hall – General Information for Regular Hall Users

Welcome

In addition to the attached Terms & Conditions, please take a few moments to read the following information. These notes will help ensure the hall is left ready for the next user and that everyone enjoys a safe and welcoming environment.

 On arrival

  • If you are the first user of the day, there may be no one else at the hall when you arrive.
  • Please switch on the lights, as demonstrated when we met. Don’t forget to switch on the toilet lights, as there is no natural light in those rooms.
  • You will be provided with a key to the premises.

Before you leave

  • If you are the last user in the building, please:
  • Ensure no-one is left behind.
  • Switch off all lights, including the toilets.
  • Ensure all windows and doors are secure before locking up.
  • Check that all taps are turned off.
  • Leave the toilet floors free from paper or other debris.

Tables & Chairs

  • Tables and chairs are stored in the adjoining Meeting Room.
  • Please return all furniture to its original location after use.
  • Wipe down all table surfaces before putting them away.
  • Additionally, you’re welcome to use the kitchen facilities; please leave the kitchen clean and tidy, washing and putting away any items you have used.

Attendance Register

Please sign the Attendance Book, located on the small table in the hallway, each time you use the hall.

Heating

  • During the winter months, the heating operates on an automatic timer.
  • If the hall feels cold, please first check that the radiator valves have not been turned down.
  • If your activity generates plenty of warmth, you’re welcome to turn the radiators down during your session. Please remember to return them to their previous setting before you leave.
  • If the heating has not come on at all, please let me know. (Instructions for operating the boiler are available if ever required.)

Maintenance and Lost Property

A Maintenance and Lost Property Book is kept in the wall-mounted post box beside the boiler in the kitchen.

Please record any maintenance issues you notice, such as:

  • a light bulb needing replacement
  • a cleanliness issue
  • damaged equipment
  • anything else requiring our attention

This helps us deal with problems as quickly as possible.

Waste & Cleaning

Please bring a black refuse sack with you and take all rubbish away at the end of your session, as the hall does not have a daily waste collection.

A mop, bucket and large sweeping brush are available in the kitchen should you need them.

Promoting your class

  • We’d be delighted to help promote your sessions.
  • You’re welcome to display an A5 poster on the noticeboard in the hallway.
  • If you leave another copy in the kitchen post box, we’ll display it on the external noticeboard.
  • We will also include your sessions on the Village Hall website (currently being updated).
  • There is also a well-used public noticeboard outside the newsagent in Whalley, which is a great place to display an A4 laminated poster.

Parking

Parking is available for up to four small cars (or three larger vehicles) directly in front of the Village Hall.

There is also ample free parking along Accrington Road.

Thank you for helping us look after the Village Hall.

Your cooperation is greatly appreciated and helps keep the hall in excellent condition for all users.
